Who we are
CrewOnShift is operated by Destiny Road Inc., Box 168, Gunton, MB R0C 1H0, Canada ("CrewOnShift", "we", "us"). This policy explains what personal information the CrewOnShift website, web app and mobile apps collect, why, and the choices you have.
Businesses ("companies") sign up for CrewOnShift and add their managers and employees. For information about a company's workers, the company decides what is collected and how it is used, and CrewOnShift processes it on the company's behalf. If you are an employee, your employer is your first contact for questions about your work records.
Information we collect
Account details: name, email address, mobile phone number, role, hourly rate, payroll ID, login PIN (stored only in hashed form) and password (stored only in hashed form).
Time and work records: punch in and punch out times, breaks, shifts, schedules, jobs and projects, timesheets, punch correction requests, lateness and "can't make it" notices, pay questions and payroll totals.
Location: see "Location" below.
Kiosk photos: when a company uses Kiosk mode with the camera turned on, a photo is taken at each punch so the company can confirm who punched.
Messages: team chat messages and replies you send to our text messages.
Billing: the company's plan and subscription status. Card details are entered directly with Stripe and never stored by CrewOnShift.
Device and usage data: browser or device type, IP address, pages used and error logs, collected to keep the service secure and working, and basic product analytics.
Location
CrewOnShift asks for your device location only at the moment you punch in or punch out (or when a kiosk records a punch). We do not track your location in the background or between punches.
The location, with its accuracy, is saved with that punch so your company can confirm the punch happened at the job site and receive an alert when a punch is made away from it. Companies can set job-site areas (geofences) for this.
You can turn off location permission in your device settings at any time. Your company may require location to record a punch.
Notifications
If you allow notifications, we store a notification token for your device so we can send shift reminders, forgot-to-punch reminders, schedule and punch changes, chat messages, pay day notices and manager alerts.
You can turn notifications off at any time in your device or browser settings.
Text messages (SMS)
If your company uses text alerts and a mobile number is on your account, we send operational texts such as sign-in codes, shift reminders, forgot-to-punch and clock-out reminders, late arrival and running-late alerts, chat notifications and pay detail notices. We do not send marketing texts.
Texts are sent through our provider Twilio, which receives your phone number and the message content. When you reply to a text, your reply is posted to your company's team chat.
Message frequency varies with your schedule. Message and data rates may apply. Reply STOP to stop texts, or ask your manager to turn texts off for your account. Reply HELP for help.
How we use information
To provide CrewOnShift: recording time, scheduling, chat, notifications, payroll reports, exports and pay detail documents.
To send service emails and texts, such as sign-in codes, reminders, alerts, pay detail notices and billing notices.
To bill companies, prevent fraud and abuse, keep the service secure, fix problems and improve features.
To meet legal obligations. We do not sell personal information, and we do not use it for advertising.
Service providers
We share information only with providers that help us run CrewOnShift, under contracts that limit their use of it: Stripe (payments), Twilio (text messages and sign-in codes), Resend (email), Apple, Google and browser push services (notifications), PostHog (product analytics), and our cloud hosting and database providers.
Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to local authorities under local law.
We may also disclose information if required by law, to protect people's safety or our rights, or as part of a merger or sale of the business.
How long we keep information
We keep a company's information while its account is active. Within 90 days after a company cancels, we delete its account data, including its users, time records, schedules, chat messages and photos, except information we must keep by law (for example billing records).
Employers often have their own legal duty to keep payroll records. Companies should export their payroll reports before cancelling.
When an employee is removed, their records stay with the company's account as part of the company's work history until the company deletes them or the account is deleted.
Your choices and rights
You can ask to see, correct or delete your personal information, or withdraw consent, by emailing info@crewonshift.com. We will verify your request and respond within 30 days. Employees may be referred to their employer for records the employer controls.
To delete a CrewOnShift account, email info@crewonshift.com from the email address on the account, or ask your company's manager to remove you. Company owners can ask us to delete the whole company.
Canada: we follow the Personal Information Protection and Electronic Documents Act (PIPEDA). If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
United States: depending on your state (for example California, Colorado, Virginia or Texas), you may have rights to know, access, correct, delete or opt out. We honour these requests at the email above and will not discriminate against you for using them. We do not sell or share personal information for targeted advertising.
Security
We use encrypted connections, hashed passwords and PINs, separate data for each company and access controls by role. No system is perfectly secure; please contact us right away if you think your account has been compromised.
Children
CrewOnShift is a workplace tool and is not directed to children under 13. We do not knowingly collect information from children under 13.
Changes and contact
We may update this policy. We will post the new version here with a new date and, for important changes, let companies know by email or in the app.
